GUIDELINES FOR COMPLETING THE DIRECTORY:
The directory plays a very important role in Moving Image Collections. It will be used to guide users in locating appropriate collections to search or visit. It will provide information about organizations along with materials discovered through the union catalog search. It will also generate dynamic web pages for each organization.
It will also provide detailed information about preservation and cataloging practices that will be used to further collaboration, mentoring and research within the community.
The directory form takes about an hour to complete. You will probably want to print the directory form and research some questions in advance. Below are guidelines to assist you in completing the directory. Thank you for your support for this very important project!
1. The directory is divided into several sections:
· identification and contact information
· services and collections
· preservation practices
· cataloging practices
· contact information for MIC
You may want to involve several people in completing relevant sections. Some
questions may also require further research for the best answer. We recommend
that you print the directory first, before completing online. You may
also mail the printed version of the directory.
2. Hyperlinked help screens and glossaries are provided for directory fields, technical terms, some controlled vocabularies, and for subject and genre terms. Subject and genre terms are intended to direct end users to the most relevant collections to search or visit.
The terms are intentionally broad. We recommend that you read the definitions and scope notes carefully to determine which terms are most relevant for your collections.
Even if you disagree with the relevant categories for your collection, based on scope notes, we urge you to use the categories as defined and send you concerns to Jane Johnson, Chair of the Technical Committee.
3. Your directory entry will not be displayed as a whole entry. Instead, different fields will display under different contexts in the MIC portal. Please do not use terms like “See above” or “see previous entry.” These will not be meaningful in the MIC portal.
4. Telephone numbers must include the country code with any relevant symbols, as well as the number itself. Example: British Film History Institute: +44 – 0 – 1223 – 186581
5. If you have questions, or experience problems in completing the directory, please contact Grace Agnew or Jane Johnson. We will respond as quickly as possible. We may also contact the designated MIC contact via email with any questions that arise as we review the entry. This is the first version of the database, so it’s a learning experience for all of us.
6. You may print the directory in PDF format (19 pages) and mail the completed directory form, using the mailing label provided.
7. You may complete the directory in Word on your computer and email to: gagnew@rci.rutgers.edu. We suggest that you print the directory in PDF to use as a reference before completing the Word form online.
